How to use the Shopify Payments activity report at month-end

Review how the Shopify Payments balance moved across a period—without treating the report as revenue or forcing it to equal the same month's bank deposits.

Quick answer

Use the report to explain balance movement, not one deposit.

In Shopify admin, go to Finance → Documents → Shopify Payments activity report. Select the period and one payout currency, then review the starting balance, gross activity, fees, payouts, net movement, and ending balance. Shopify labels that movement Balance change from activity and its expanded result Net amount. Use Finance reports for sales or revenue questions; use the Payouts page when one bank deposit needs transaction-level detail.

Before you start

Check the report's scope before comparing totals.

Confirm provider and access.

The report requires Shopify Payments and payout-view permission. It excludes Shopify billing fees, third-party processors, and third-party payment methods.

Separate payout currencies.

Shopify creates a separate report for each payout currency. Do not combine currencies to manufacture a single apparent match.

Respect the data delay.

Shopify says the activity report has a three-day data delay. Label a recent period incomplete instead of treating missing activity as a resolved variance.

Five-step close

Move from completeness to exceptions.

    Set the exact date range and payout currency.

    Record both selections and the timezone used by each source you compare. A same-month bank statement can still contain payouts produced by activity from a different date range, so matching month labels alone is not enough.

  2. 02

    Preserve the period report.

    Export the displayed report to PDF after the selected period is old enough for the reported delay. Shopify says the PDF carries the same Summary and Activity information shown in admin.

  3. 03

    Tie the opening and closing balances.

    Confirm that the starting balance plus Balance change from activity leads to the ending balance. Expand that field and review how gross activity, fees, and payouts produce the Net amount rather than comparing sales to the bank first. If the balance bridge does not tie, verify the selected range and currency, allow for the three-day delay, and rerun it. If the same inconsistency remains, contact Shopify Support instead of forcing the close.

    Expand the activity groups that actually appear.

    Shopify displays only applicable groups. Depending on the store and period, those can include charges, refunds, disputes, adjustments, reserves and holds, shipping, Shop Cash, or other balance activity.

    Route each remaining question to the right source.

    Use Finance reports for order and sales activity. Open the Payouts page for a specific payout or bank deposit. Keep an unresolved item open when the source evidence does not support a match. Follow the order-to-payout process map when a known transaction needs tracing, or use the bank-reference lookup guide when the investigation starts from a bank line.

This simplified example uses the summary fields named by Shopify. A real report can contain additional activity groups and line items. The ending balance is not the month's revenue, and the US$7,900 payout total does not need to equal bank deposits posted inside the same calendar dates.
