Shopify order to payout: a reconciliation process map
Trace a captured Shopify Payments transaction through pending status, its payout batch, and the bank statement—without treating the order total as the expected deposit.

Quick answer
Follow the transaction into its payout before checking the bank.
Start with each relevant Shopify Payments transaction for the order. Confirm its payout status, payout date, and currency; then open the payout that contains it. An order with multiple captures, refunds, or later adjustments can require more than one transaction-row trace. Compare that payout's net total—not the order total—to the corresponding bank line. One payout can include multiple charges plus refunds, fees, adjustments, and reserves. This map covers payouts to an external bank account, not payouts to Shopify Balance.

Customer payment is captured.
Record the order number, transaction date, currency, and payment method. Shopify records the capture timestamp in UTC. Continue this map only for a transaction shown in Shopify Payments; Shopify's activity report excludes third-party processors and third-party payment methods.

The transaction is pending or assigned to a payout.
A Pending Shopify Payments transaction has not yet been added to a payout and sent to the bank. Its displayed payout date is an estimate, so do not record it as a bank deposit merely because a future date is visible.

Shopify builds the net payout.
Open the specific payout and review its included transactions plus the breakdown of charges, refunds, fees, adjustments, and reserves. This payout-level total is the amount to carry toward the bank check.

The payout is sent—or fails before deposit.
For an external-bank payout, Scheduled means the payout is being sent. Deposited means Shopify sent it, but the bank might still need 1–3 business days to process and display the funds. Failed means the bank couldn't process the payout: follow the prompt in Shopify admin and resolve the payout-destination or bank-account issue before continuing the bank match. For a sent payout, keep the visible destination account and transfer reference, where available, with the review evidence.

The bank posts—or does not post—the deposit.
Compare the same-currency Shopify net payout with the bank amount and destination account; use the transfer reference where available. If the evidence does not support a match, leave the variance unresolved instead of assigning an old fee or refund a second time.

Find the payout for an order
Use transaction evidence, not the order total alone.

Open Finance → View payouts → View order transactions.
Filter by transaction date, payout status, payout date, and currency to narrow the relevant Shopify Payments rows. Payments are associated with their orders in this view. If an order has multiple captures, refunds, or later adjustments, trace each relevant transaction row.

Use the payout date to open the batch.
Review the payout overview and its Transactions section. Confirm that the order's transaction is included rather than assuming that a date or similar amount proves the link.

Export when the on-screen trail is too narrow.
Shopify's balance-transaction CSV includes order number, transaction date and type, payout status and date, amount, fee, and net. Keep each currency separate when filtering or exporting.

If the bank posts US$176.00, Order A's US$116.00 still should not be compared directly with that deposit. The payout is the bridge between the order-level transaction and the bank line. Real payouts can contain other transaction types and adjustments, so use the actual payout details rather than this simplified arithmetic.
Choose the right Shopify view
A period report and one payout answer different questions.
Use the Shopify Payments activity report to review balance movement across a date range and payout currency. Use the Payouts page when you need the details behind one payout or bank deposit. Shopify says the activity report has a three-day data delay and excludes Shopify billing fees, third-party processors, and third-party payment methods.

Why this map exists
The order-to-bank handoff is a current merchant question.
An April 2026 Shopify Community post asks when a settled transaction will appear as a bank payout and requests a reconciliation process map. That is merchant problem-language, not official timing guidance or evidence of willingness to buy a workbook. The steps on this page therefore use the current Shopify Help Center for operational rules and keep timing specific to the merchant's region, risk level, payment method, payout schedule, and bank processing.

It is not an order tracker, does not predict settlement or payout dates, and does not connect to Shopify, an accounting system, or a bank. Payout status, transfer reference, masked destination-account detail, and source evidence have no dedicated workbook fields; keep them in the source files used for review or record the relevant context in Notes.

It does not predict when a transaction will be paid, prove a bank or Shopify error, trace third-party processors, or make accounting, tax, or ledger decisions.
